OTA virtual card recovery: collect every prepaid stay before the card expires
The guest stayed and the OTA collected. Virtual Card 360° makes sure the hotel's share does not sit on a card nobody ran.
Quick answer: Virtual Card 360° reconciles every prepaid OTA reservation to a virtual card charge and makes sure each card is charged in full before it expires. It finds cards that were never charged, charged for the wrong amount, charged twice or left to expire, and recovers money the OTA already collected from your guest. Monitoring runs 24/7.
Who has this problem
Any hotel that sells prepaid rooms through OTAs. When a guest prepays through Expedia or Booking.com, the OTA collects payment and gives the hotel a single-use or limited-use virtual card for its share. The hotel has to charge that card to get paid, and every card carries three limits: an activation date before which it declines, a balance loaded for that reservation and no more, and an expiration window after which it can no longer be charged. The windows differ by OTA and program and change over time.
Virtual card leakage is quiet. The card sits outside the normal folio flow, and the PMS usually shows the stay as settled or routed to a receivable that looks normal. An uncharged card produces no exception and no alert. The money is simply never collected.
Where the money leaks
Cards that never get charged
- The card is not active at check-in, the desk gets a decline, and nobody tries again.
- The card is visible in the extranet or channel manager but never made it into the PMS reservation.
- The guest's personal card is charged by mistake, refunded later, and the virtual card is forgotten.
- Night audit and accounting each assume the other charges cards.
- The one person who knew the process left, or volume simply outruns manual checking.
Cards charged for the wrong amount
- The guest added a night or upgraded, but the original amount was charged.
- Room was charged, taxes or fees were not.
- A no-show or cancellation penalty was payable on the card, but nothing was charged.
- Early departures, split stays and room moves leave part of the balance unclaimed.
What x·quic checks and compares
- Every prepaid OTA reservation by channel, including cancellations and no-shows.
- Every virtual card charge that reached your merchant account for the same stays.
- The amount loaded on each card against the amount actually charged, and the authorization behind it.
- Card status for each exception: active, expired or already used.
A reservation with no charge is uncharged. A charge below the card's value is undercharged. Two charges against one booking are duplicates. Each exception is worked before the card ages out.
How it works
- Grant read-only access. Connect your systems read-only. Setup takes minutes and nothing changes at the front desk.
- Run the 1-year audit. x·quic reconciles a full year of prepaid OTA reservations against card charges and shows what was left uncollected, in your own numbers.
- Recover. Active cards are charged for the full remaining amount. Where a card has already expired, the OTA is contacted with the stay and folio to request payment. OTA policies on expired cards differ and are not guaranteed, which is why speed matters.
- Monitor and report. Cards are watched 24/7 from then on, so they are charged in full before they expire. Every recovery appears in your dashboard with a full audit trail.
Systems it works with
Channels: Booking.com, Expedia, Priceline / Agoda, Trip.com, Hopper and Despegar, plus your merchant accounts. Property management systems: Opera and Opera Cloud, OnQ, Choice Advantage, HotelKey, Cloudbeds, SynXis Property Hub, StayNTouch, SkyTouch, Infor, Jonas Chorum, Maestro, INNsight, Visual Matrix, WebRezPro, RoomKey, RoomMaster, AutoClerk, FOSSE and Anand Systems. If your PMS is not listed, x·quic can still connect.
Proof: Hyatt Place Nashville Airport
Hyatt Place Nashville Airport recovered $19,755 across two leak surfaces: $11,707 from recovered virtual cards and over $8,000 from disputed OTA commissions. x·quic took over the matching and pursued the funds without the property having to drive the process. General Manager Ron Pye: "Reconciliation is complicated and tedious, but xquic makes it easy." Read the Hyatt Place Nashville Airport story.
Virtual cards and commissions are two sides of the same OTA reservation. A booking that was cancelled, shortened or fraudulent can also mean a commission adjustment, which OTA Commission 360° handles.

Frequently asked questions
Why do OTA virtual cards go uncharged?
Usually because nobody owns the step and the reservation already looks paid in the PMS. Common causes are cards that decline before activation and are never retried, card details left in the extranet instead of the folio, the guest's own card charged by mistake, gaps between night audit and accounting, staff turnover and sheer volume.
Can expired OTA virtual cards be recovered?
Sometimes. Once a card expires it can no longer be charged, so the hotel has to ask the OTA to reissue it or pay directly, with the stay and folio as support. Policies differ by OTA and are not guaranteed. The better answer is to catch cards before they expire, which is what 24/7 monitoring is for.
What does hotel VCC reconciliation actually compare?
Every prepaid OTA reservation, including cancellations and no-shows, against every virtual card charge in your merchant account for the same period, and the amount loaded on each card against the amount charged. Reservations with no charge are uncharged, charges below the card value are undercharged, and double charges are duplicates.
Does my front desk have to change anything?
No. x·quic uses read-only access to the systems you already run. Setup takes minutes, there is no new software for your team and no change to front-desk workflow. Once live, the reconciliation runs in the background and every recovery shows up in the dashboard.
How is Virtual Card 360° priced?
On the Basic plan you pay only a share of what x·quic recovers on virtual cards and OTA commissions, with no monthly fee and nothing owed if nothing is recovered. On the Subscription plan, virtual card recovery is at 0% of savings inside one flat monthly fee that covers all six products.
